Job Summary

First Community Bank is the first fully fledged Sharia’h compliant bank to be approved by the Central Bank of Kenya (CBK) offering banking services on a complete Sharia’h system. The Bank received a formal approval from the Central Bank of Kenya on May 29th 2007, thereby opening the door for Sharia’h compliant banking not only in Kenya but the entire East and Central African region. Job Summary
This position assists the Administration Assistant manager in providing logistical support to the entire bank to facilitate smooth functioning of all operations. The position is responsible for providing all necessary working tools and creating a suitable physical environment for staff and customers.

Responsibilities

  • Procure all goods and services required by the bank in a timely manner, ensuring adherence to procurement policies and procedures. Such goods and services include but are not limited to:

1. Equipment and maintenance of equipment, stationery, cleaning services, premises maintenance, security installations & maintenance, insurance services, provision & repair of furniture, catering, transport

  • Closely monitor stationery stores, checking and confirming reports submitted by administration officers.
  • Oversee the management of office vehicles, ensuring vehicles are well maintained and movement is appropriately authorized.
  • Coordinate the day to day management of premises, ensuring premises are suitable for the bank’s business in terms of state of repair, lighting and security
  • Oversee mail processing and courier services
  • Manage Contracts with suppliers and other third parties ensuring the bank is getting good value for money spent.
  • Co-ordinate the preparation of Capex and recurrent expenses relating to maintenance annually in liaison with Finance department. Ensure all units submit their annual requirements before drawing of budget
  • Vet requests for items to be purchased, make prudent judgement on need to purchase
  • Ensure all assets of the bank are tagged with asset numbers and movements updated in appropriate register.
  • Monitor budget monthly, analyzing variances in costs against budgets
  • Oversee the managements of imprest and ensure timely reports are submitted to Finance department
  • Manage performance of staff under direct supervision – bank drivers, kitchen staff, riders and messengers.

Requirements
3.1 Qualifications:

  • Hold a Bachelor’s Degree in Business, Accounts related, Administration or related field. A Master’s degree an added advantage.
  • Advanced Diploma in Procurement and Supplies
  • Chartered Institute of Procurement & supplies qualification and membership a plus.
  • Experience in contracts management and maintenance;

  • Sound knowledge of the Procurement procedures and contract management.

  • Ability to prioritize a heavy workload, travel and manage flexible working hours;
  • Have good PR/interpersonal skills, have outstanding communication and reporting skills, problem analysis and listening ability.

Required education: Bachelor’s degree
Required relevant work experience: 3 years
Required languages: English (Spoken: fluent | Written: fluent)
