Japan Center for Conflict Prevention engages in activities to promote conflict prevention and peace, international cooperation activities, support, advice or coordination activities for the operation or activities of organizations that carry out these activities. Training / training business, research / research business, publishing / public relations business, event implementation business, etc.

Duties and Responsibilities

Under the direct supervision of the Finance and Administration Officer, the main duties and responsibilities of the Finance and Administration Assistant will be as follows:

1. Financial Management

Ÿ Assist the Finance and Administration Officer to manage day-to-day accounting processes and procedures.

Ÿ Assist the Finance and Administration Officer to complete monthly and annual closing in time.

Ÿ Prepare and process all payments and documents, including month-end bank reconciliations and journal entries via accounting book.

Ÿ Assist preparing financial documents for audits.

Ÿ Assist the Finance and Administration Officer in developing and analyzing organizational/ project budgets.

Ÿ Support budget and forecasting activities.

Ÿ Assist with financial reporting as needed, including organization office finances in coordination with the Finance and Administration Officer

Ÿ File finance related documents in a timely manner.

2. Administration

Ÿ Assist the Finance and Administration Officer in preparing and processing monthly payroll, tax, social insurance and other statutory deduction payment.

Ÿ Assist in matters of registration, work permits for non- local staff.

Ÿ Ensure up-to-date status and records of asset lists, and that office and medical insurance and are in line with donor regulations.

Ÿ Ensure timely and cost-effective maintenance of office premises

Ÿ Ensure that all office equipment is serviced regularly and in good working condition.

Ÿ Supervise the Office Assistant in line with JCCP regulation.

3. Procurement and Logistics

Ÿ Assist the Finance and Administration Officer with transport logistics and ensure that the needs of staff/office are met adequately.

Ÿ Assist the Finance and Administration Officer and the project team in ensuring that all other logistics arrangements are prepared effectively.

Ÿ Support procurement process and procedure.

4. Knowledge Management

Ÿ Develop and update knowledge-based products as required on financial management.

Ÿ Institutionalize and disseminate knowledge within JCCP office through content/data management.

Ÿ Ensure synthesis and dissemination of lessons learnt and best practices in financial management within the finance and administration section.

Ÿ Perform other related duties as required.

5. Skills, qualifications and experience

A) Experiences

Ÿ At least 3 years of experience as a Finance Assistant, Finance Officer or similar role;

B) Skills

Ÿ Good knowledge of accounting and bookkeeping procedures

Ÿ Understand task priorities and organize your work to ensure that it is completely within the given time limit.

Ÿ Have an ability to identify accounting discrepancies.

Ÿ Advanced MS Excel skills (creating spreadsheets and using financial functions)

Ÿ Organizational and time-management skills

Ÿ Attention to detail, with an ability to spot numerical errors;

C) Other Important Qualifications

Ÿ Be a good team player and able to work on deadline driven situations.

Ÿ Thrives working both independently (a self-starter) and collaboratively

D) Education

Ÿ University Degree in accounting, finance, business administration or an equivalent degree;

E) Language Requirements

Ÿ Business level oral and writing skills in both English and Kiswahili;
