An international conservation organization that works across Africa, is looking for a Finance & Operations Manager for their Admin and Operational hub in Nanyuki, Kenya. The successful candidate will be responsible to develop, implement and review financial management mechanisms, systems and processes (including procurement). He/she will provide a support function to the MD of Fundraising with the operational and administrative components of grants, donations, donor databases, fundraising reports as well as campaigns and any finance and operational support as required. In addition will support a 5-year strategic roadmap (vision) that is updated annually with strategic objectives, activities, and budgets for the Finance & Operational divisions. Experience having worked with Grant Financial Reporting and Multi-currency is a MUST!

Key Responsibilities:

  • Lead Annual Planning & Budgeting process and assess the fiscal health of organization.
  • Coordinate timely financial reporting.
  • Manage the Annual Financial Audit Reporting process as well as donor required audits.
  • Develop and oversee financial protocols, internal controls, and systems for expenditure approval (including procurement).
  • Establish cash flow management good practice including review of currency requirements across the organisation and development of cash flow projections.
  • Assess organisation expenditure to determine where opportunities may exist for cost-saving on bulk orders.
  • Oversee and support all operational support to the organisation and field teams including oversight of the operation of the Nanyuki office (staff, security, internet, equipment)
  • Oversee procurement and management of all vehicles and other property or equipment owned or rented by the Organisation.
  • Coordinate and manage supplier (and subgrantee) due diligence & contracting.
  • Set up of new offices and systems in countries we work in line with expansion.
  • Source and contract appropriate insurance covers.
  • Financial administration and internal reporting on all grants and donations.
  • Coordinate, Implement and Record the establishment of all required Legal Entities.
  • Identify the top Operational, Financial and Administrative Risks on a yearly review basis.
  • Assist grants manager to define, document and ensure compliance of all grant regulatory compliance requirements per Grant & Grant Organization.
  • Working closely with the HR manager, oversee the management of complete payroll value chain.
  • Working closely with HR Manager, CEO and MD’s, oversees the management of the employee and consultant’s salary, remuneration benchmarking/banding, benefits and increases system.
  • For all direct reports, develop and oversee annual ToRs, including individual KPA’s and KPI’s.
  • Plan and facilitate yearly employee reviews with all direct reports within the finance team.
  • Represent the NGP at strategic Organizational Events as determined by the CEO and MDs.

Qualifications:

  • Bachelor’s degree in relevant field.
  • Certified Public Accountant.
  • Experience of use of QuickBooks online and ideally Aren payroll software.
  • At least 5 years experience in a managerial role with responsibility for teams.
  • Experience in managing public institutional funds and knowledge of institutional grant financial reporting requirements.
  • Experience of working with organisations registered with the UK Charities Commission and as US 501(c)(3) entities preferred.
  • Demonstrated experience in the development and implementation of expenditure and procurement systems in a remote working environment is essential.
  • Experience in managing financial administration in other African countries preferred.
